We collect only what we need to answer calls for businesses and run their accounts. We do not sell personal information.
1. Who we are
Ringara is an AI phone receptionist for businesses in the United States and Canada, operated by Ringara Technologies LLC, a Texas limited liability company (“Ringara”, “we”, “us”). This policy explains how we handle personal information on ringara.com and in the Ringara service.
Questions or requests: info@ringara.com.
2. Our customers and their callers
Our customers are businesses. When a business uses Ringara to answer its phone, the business decides what the receptionist knows and what happens to its calls. For the information of people who call a business (“callers”), we act for that business, as its service provider. Callers who have questions about their information can contact the business they called, or us.
3. Information we collect
Account information. Your name, email address and password when you create an account (sign-in runs on Microsoft Entra; we do not see or store your password), the businesses you belong to and your role.
Business information. What a business enters in the dashboard: name, hours, services, prices, answers to common questions, departments and their phone numbers or email addresses, and documents it uploads for the receptionist to answer from.
Call information. For each call to a Ringara number: the caller’s phone number, the number called, time and length, a written transcript of the conversation, and messages the caller leaves (for example a name, call-back number and message). A recording of the call is kept only if the business turns on call recording.
Billing information. Your plan, minutes used and billing history. Payments are handled by Stripe: card numbers go to Stripe directly and never reach our servers.
Website contact form. Your name, email, and optional company and phone number, and your message. We send it to our team by email and do not store it in our database. To stop abuse, we count messages per visitor IP address for one hour.
Technical information. Our servers keep logs of requests (such as the page or endpoint, time and result) to run and protect the service.
4. How we use information
- To answer and handle calls for the business: speak with callers, answer from the business’s information, transfer calls, and take and deliver messages.
- To show businesses their calls, transcripts, recordings and messages, and to email them messages and account notices.
- To bill for plans and minutes.
- To keep the service secure, prevent abuse, and fix problems.
- To answer your questions and requests.
We do not sell personal information, we do not use it for advertising, and we do not use callers’ conversations or businesses’ documents to train AI models.
5. AI and call recording
Every call starts with a notice that the caller is speaking with an AI assistant and that the call may be recorded. Businesses cannot turn this notice off.
To hold the conversation, the caller’s speech is processed in real time by AI speech providers (listed below). The business chooses which voice option it uses.
6. Service providers
We share information only with providers that help us run Ringara, for that purpose:
- Microsoft Azure: hosting, database, file storage, AI speech and text models, account sign-in (Entra), and email delivery.
- Telnyx: phone numbers and call connections.
- xAI: AI voice for the receptionist, when the business uses that voice option.
- Stripe: payments and invoices.
- Google Workspace: our team’s email, where contact-form messages and support emails arrive.
We may also disclose information when the law requires it, or to protect the rights and safety of people or of Ringara, and to a buyer if the business is sold, under this policy.
7. Where information is stored
Ringara stores data in Microsoft Azure data centers in the United States. If you are in Canada, your information and your callers’ information are stored and processed in the United States, where it may be accessible to U.S. authorities under U.S. law.
8. How long we keep information
- Call recordings are deleted automatically 90 days after the call.
- Transcripts, messages and call history are kept while the business’s account is open, unless the business asks us to delete them.
- Documents stay until the business deletes them in the dashboard.
- Server logs are kept for 30 days.
- Billing records are kept as long as tax and accounting laws require.
9. Security
Data is encrypted in transit (HTTPS/TLS) and at rest. Each business’s data is kept apart by the database itself, and only signed-in members of a business can see it. Secrets such as API keys are held in a key vault. No system is perfectly secure; if a breach affects your information, we will tell you as the law requires.
10. Your choices and rights
You can see and change your business information in the dashboard at any time. You can ask us for a copy of your personal information, to correct it, or to delete it, by emailing info@ringara.com. We answer within 30 days. We may need to confirm your identity, and we may keep some information when the law requires it.
Depending on where you live (for example California, or Canada under PIPEDA), you may have further rights; contact us to use them. We will not treat you differently for using them.
12. Children
Ringara is a service for businesses. It is not meant for children under 16, and we do not knowingly collect their information.
13. Changes to this policy
We will post changes on this page and change the date at the top. For important changes we will also email account admins. See also our terms of service.
